Check list Co-Directors:

  • Develop meeting agendas and preside over the monthly meetings
  • Take into consideration issues at hand and facilitate democratic votes when applicable, to include review of membership
  • Facilitate the development and vision of the gallery while retaining a value for quality and respectable standing in the arts community
  • Remind members of duties as needed for upcoming shows  Facebook, Web banner, Eblast, Minutes
  • Communicate with members as needed
  • Collect new member monies and review gallery duties
  • Assign duties as needed
  • Increase membership through means needed
  • Support the Direction and Facilitation of the gallery by making sure all members are performing their duties
  • Initiate voting process on membership reviews when necessary  and email
  • Notify members when their job relates to promotion
  • Send email reminders about agenda items needed 1 week before each meeting
  • Once a week check phone messages at the gallery and return or delete messages
  • Come up with fun ideas for open shows and ideas for filling gaps in show schedule.

Treasurer

  • Keep track of NEXT Gallery’s sales, finances, expenses and savings
  • Perform accounts receivable and accounts payable duties
  • Decide if and when extra expenses may be added
  • Track key deposits, lease agreements, handle taxes and sign paperwork related to NEXT Gallery finances

Co-Treasurer

  • Support the Treasurer with treasurer functions
  • Make sure membership dues are paid on time and report delinquencies to either of the co-directors
  • Follow up on delinquent dues – Virginia
  • Send out monthly reminders to all members that dues are due and include the link to the website for PayPal
  • Provide copies of treasurer report to membership at monthly meetings (10)
  • Make sure liability agreement is signed by all members at all times
  • Other duties as assigned when needed by Treasurer

Secretary

  • Take attendance and notes at meetings
  • Order business cards for the gallery when needed
  • Email notes to all 3 days after the monthly meeting
  • File documents in the desk
  • Organize electronic and printed versions of documents and keep them filed and updated
  • Keep ticket tape for credit card machine stocked
  • Order gallery cards for artwork as needed
  • Make sure necessary documents are refilled at the desk (i.e. sales record sheets and copies of lease agreements)
  • Stock sales receipt book
  • Stock email register book
  • Stock pens, tape, red dots and any needed office supplies

  • Ensure spaces are filled at all times

 Maintenance and Installation Assistants

  • Upon members request assist with de-installation of shows, this will typically be on a Sunday or Monday evening, to include helping with patching and painting

  • Keep an updated email address spreadsheet just for eblast purposes. Provide to members on request.

  • Coordinate and facilitate the National Call for Entries

  • Coordinate hanging and taking down of the show

  • Schedule all new applicants once invited to interview and send reminders to applicants at least 4 days prior to their interview to confirm their time and appearance for the interview

  • Build a strong and consistant Instagram campaign
